Beyond the inbox

Workflows

Automate actions when campaigns or emails fire key events.

How it fits together

Cadence, safety, and side automation

The campaign engine handles scheduled email steps. Workflows listen for events when you need branching logic and integrations.

Linear cadence

Sequences

Steps advance by delay_days from the previous send. Clear for reps to reason about—and for the engine to schedule.

Limits & timing

Safety

Caps, weekdays, and time-of-day windows keep sends human-paced and reputation-aware across many inboxes.

Workflows & hooks

Automation

React to campaign start and email events with workflows; notify external systems with webhooks when messages go out.

Campaign & sequence capabilities

What you can configure and run in EmaReach for outbound campaigns—from sequence structure to analytics and automations.

Multi-step email sequences

Each campaign is an email sequence: add steps with a template and delay in days. Step 1 is typically delay 0; follow-ups schedule after the previous send. Reorder or remove steps anytime.

A/B variants per sequence step

Put multiple templates on the same delay— the system groups them as variants for that step. Analytics compare opens, clicks, and replies; an A/B winner can be selected for ongoing sends.

Stops follow-ups when someone replies

If a contact has a replied log on the campaign thread, they are not eligible for the next step—so you do not keep emailing people who already engaged.

Campaign daily limit + per-inbox caps

Set a max emails per day for the campaign across all inboxes. Per-inbox daily limits apply too—EmaReach enforces both so you stay within reputation-safe volume.

Send windows & weekday schedule

Define start/end time and timezone, and which weekdays sends are allowed. Batching respects the window instead of blasting at odd hours.

Multi-inbox sending & rotation

Attach multiple Gmail or SMTP inboxes to a campaign. Choose round-robin or random rotation, and optionally sticky sending so follow-ups can use the same inbox as the prior step.

Reply-To routing

Configure Reply-To per campaign: default inbox, specific Gmail/IMAP inbox, custom address, or none—so replies land where your team expects.

Compliance before go-live

Templates are checked for links, unsubscribe expectations, and risky wording (per your compliance settings) before you launch—reducing last-minute surprises.

Workflows on campaign & email events

Build automations triggered when a campaign starts, or when an email is sent, opened, or replied—scoped to campaign, list, contact, or global. Compose nodes for waits, branches, and actions.

Webhooks & integrations

Email sends can trigger webhooks alongside workflows—so your stack gets notified for downstream CRM or analytics flows.

Step-level analytics & progress

Track sends, opens, clicks, and replies per template and sequence step. Contact views show how far each person moved through the sequence.

AI Campaign Studio (sequence drafting)

Use AI Campaign Studio to describe your offer and generate multi-step sequences with templates—then attach lists and sending rules when you are ready to launch.

Deep dive

Optimize each step—not just the first send

A/B analytics per step

When multiple templates share the same delay, compare sends, opens, clicks, and replies per variant. Use the data to declare a winner and keep improving subject lines and body copy where it matters.

Workflows

Triggers include campaign started, email sent, opened, and replied—with scopes for campaign, list, contact, or global automation.

Webhooks

Notify external systems when sends occur—parallel to workflow actions for your stack.

Fix what breaks outbound at scale

Common failure modes

  • Follow-ups go out after someone already replied—damaging trust.
  • No visibility into which step or variant actually performs.
  • Sending too fast from one inbox or outside business hours.
  • Ops glue: CRM and tools never hear when a campaign event happens.

How EmaReach addresses them

Legacy-friendly sequences

Older campaigns that only stored a flat list of templates are mapped into a sequence automatically (staggered delays) so nothing breaks when you migrate.

Operational resilience

Failed sends retry up to a limit per step; contacts who exceed retries are skipped for that step to protect deliverability.

Campaign lifecycle

Draft → active → paused or completed. Starting a campaign can trigger workflows scoped to that campaign.

Unsubscribe & block lists respected

Send batches filter blocked and unsubscribed contacts so automated sequences do not violate opt-outs.

From setup to launch

How teams run campaigns end to end

Typical flow

  1. 01

Pick contact lists and map fields. Attach one or more sending inboxes and set rotation (round-robin or random).

  2. 02

Build the email_sequence: each step has a template and delay_days. Add multiple templates on the same delay for A/B testing that step.

  3. 03

Set campaign daily limit, send window (start/end, timezone), and weekdays. Align per-inbox limits in Inbox Accounts.

  4. 04

Run compliance checks, configure Reply-To, then activate. Paused and completed states are available for operational control.

  5. 05

Monitor step and variant analytics; optionally pick an A/B winner. Layer Workflows for side automations on send, open, or reply.
